Vendor Expectations

Vendors must abide by the event Term and Conditions to participate. Non-compliant vendors run the risk of being banned from any future events produced by Virginia Belle Events.


  • Vendors must abide by all local, state and federal regulations related to COVID-19 at the time of the event.

  • Festivals are rain or shine events. In the event of an act of God where the festival must be cancelled (e.g. COVID or extreme weather conditions), vendors will receive a 50% refund. Otherwise, vendor registration fees are non-refundable.

  • Vendors are responsible for obtaining their own business licenses from the Philadelphia Department of Licenses and Inspections and if applicable, Operating Eligibility Certificates from the Philadelphia Department of Public Health.

  • Vendors must indemnify the festival, its agents, volunteers, and officers of any liability by either providing a certificate of insurance (COI) listing the festival’s applicable legal entity as cross insured or signing a waiver of liability.

  • Vendors are responsible for supplying all tents, tent weights, tables, chairs, electricity, tablets, WiFi, cash boxes, etc.

  • Vendors must be on time for their load-in window for set-up. Close to the start of the festival, the street will be completely closed off to traffic, and late vendors will not be able to drive supplies and merchandise onto the footprint to their assigned spots.

  • Vendors must be careful and courteous when driving to their spot to set up and pack up their supplies and merchandise.

  • During set-up and breakdown, vendors are expected to move their cars off of the festival footprint as soon as possible. Vendors are expected to set up their vendor space only after they have moved and parked their car off the footprint.

  • Vendors must stay the entire duration of the festival. The street will not reopen for breakdown until after the festival is over.

  • Vendors must clean their spots of any trash or debris before leaving the festival.
